This Privacy Policy describes how Vera POS ("Vera," "we," "us," or "our") collects, uses, shares, and protects information in connection with the Vera POS platform, including our website and web application (collectively, the "Service"). This Policy should be read together with our Terms of Service.
This Policy applies to information we collect directly from boutiques and their staff who use the Service ("Customer," "you," or "your"). Section 5 below explains how we handle information that you, as a Customer, enter into the Service about your own customers.

1. INFORMATION WE COLLECT
1.1 Account Information. When you register for the Service, we collect information such as your name, business name, email address, phone number, and billing information.
1.2 Staff Information. If you invite Staff to use the Service under your account, we collect their name, email address, role, and any information you choose to record about them within the Service, such as PIN codes, commission rates, or scheduled hours.
1.3 Business Data. We collect the information you and your Staff input into the Service to operate your business, including inventory records, sales and transaction records, appointment and special order details, and wedding party and customer information you choose to store.
1.4 Payment Information. When you subscribe to a paid plan, your payment card information is collected and processed directly by our payment processor, Stripe. We do not store your full payment card number on our servers.
1.5 Usage and Device Information. We automatically collect certain technical information when you use the Service, including IP address, browser type, device information, pages viewed, and timestamps of activity, generally through standard web server logs and similar technologies.
1.6 Communications. If you contact us for support or other purposes, we collect the information you provide in that communication.

2. HOW WE USE INFORMATION
We use the information we collect to:

provide, operate, and maintain the Service;

process subscription payments and manage your account;

send you administrative communications, such as billing notices, security alerts, and updates about the Service;

monitor and analyze usage and trends to improve the Service;

detect, investigate, and prevent fraudulent, unauthorized, or illegal activity; and

comply with legal obligations.
We do not use your Business Data to train third-party AI models beyond what is necessary to provide AI-assisted features within the Service to you.

3. HOW WE SHARE INFORMATION
We do not sell your personal information. We share information only in the following circumstances:
3.1 Service Providers. We share information with third-party service providers who help us operate the Service, including:

Supabase (database hosting and backend infrastructure)

Wix (inventory synchronization, if you connect a Wix store)

Twilio (SMS and communications delivery)

Anthropic (AI-assisted features within the Service, where enabled)
These providers are authorized to use your information only as necessary to provide their services to us and are bound by confidentiality and data protection obligations.
3.2 Legal Requirements. We may disclose information if required to do so by law, subpoena, or other legal process, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
3.3 Business Transfers. If Vera is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a different privacy policy.

4. DATA SECURITY
We use reasonable administrative, technical, and physical safeguards designed to protect the information we hold, including access controls and encryption of data in transit. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

5. INFORMATION ABOUT YOUR CUSTOMERS
If you store information about your own customers (for example, brides, wedding party members, or other clients) within the Service, you are the party responsible for that information under applicable privacy laws. We act only as a service provider processing that information on your behalf and at your direction, solely to provide the Service to you. You are responsible for providing any required notices to, and obtaining any necessary consents from, your own customers regarding your use of the Service to store their information.

6. DATA RETENTION
We retain your information for as long as your account is active or as needed to provide the Service. Following termination of your account, we retain Your Data for a limited period, as described in our Terms of Service, to allow for export, after which it may be permanently deleted, except where retention is required for legal, accounting, or security purposes.

7. YOUR RIGHTS AND CHOICES
7.1 Access and Export. You can access and export most of the Business Data you have entered into the Service directly through your account.
7.2 Account Information. You can update your account information at any time through your account settings, or by contacting us.
7.3 Deletion. You may request deletion of your account and associated information by contacting us, subject to our legal and legitimate business retention needs.
7.4 Marketing Communications. If we send you marketing communications, you may opt out at any time using the unsubscribe link included in those communications. You will continue to receive administrative and transactional communications necessary for use of the Service.

8. COOKIES AND TRACKING TECHNOLOGIES
We use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the Service is used. You can control cookies through your browser settings, though disabling cookies may affect the functionality of the Service.

9. CHILDREN'S PRIVACY
The Service is intended for business use by adults and is not directed to children under the age of 16. We do not knowingly collect personal information from children.

10. CALIFORNIA PRIVACY RIGHTS
If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA), as amended, including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale or sharing of personal information. We do not sell personal information. To exercise these rights, contact us using the information in Section 12.

11. CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by posting the updated Policy on our website or notifying you through the Service. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
